Google has announced two changes that will impact the web addresses used to share some Drive files, and its Backup and Sync service.

Security update for some Google Drive links, to be completed by Sept. 13

Google is applying a security update to some Google Drive file links to make sharing links more secure.  The web address used to share a document will change to include a resource key. Note that Google Docs, Sheets, Slides, and Forms files are not impacted by this change.

You should have received or will receive an email from Google announcing the security update.  Google will also display a security update banner in Drive that reads “On September 13, 2021, a security update will be applied to some of your files” with links to learn more and see the files.  

Clicking on “See files” will show you a list of any folders you own or folders that have been shared with you that are affected. Double click on any of those folders to see the particular files. By default, the security update has been applied. You can opt to remove it, however files with sensitive information should have the update applied. You may need to update any web pages/sites with the new web address.

If you are unable to review your files prior to Sept. 13, Google will permanently apply the security update to your impacted files on that date. You will not be able to remove the update from affected files.

Google backup and sync migration to Drive for Desktop to be completed by Oct. 1

SUNY Oswego has been using Backup and Sync as the official means of backing up data on computers since 2018. Some members of the campus may have also used the alternative Drive File Stream application on their own to backup data. Google recently announced it will be combining the Backup and Sync and Drive File Stream tools and features to create one new application called Drive for Desktop.

Starting Aug. 18, users will be prompted to transition to Drive for desktop while using the app. The transition will need to be completed by Oct.1 as users will not be able to login to Backup and Sync on that date. Data that has already been backed up will not be affected, however the syncing function will stop working.

Campus Technology Services will include the new Drive for desktop app on new computer installations starting in August.
