Waterman Theatre Rental Rates & Payment
  • Fees must be paid in full within two weeks of receiving the final invoice
  • All fees listed are for one day, and vary based on the sponsorship of the event
  • The rental cost of Waterman Theatre includes:
    • Venue Coordinator (to advance the event, hire labor, and be the point person for the day of the event)
    • Use of a clear Waterman Stage in its neutral set-up; meaning ease of access to all areas, all stage equipment in its proper location regardless of turnaround time between events
    • Use of the House and Lobby during Load-In, Rehearsals, Event and Load Out
    • Use of the two Waterman Ensemble Dressing Rooms
    • Exclusive access to the two Waterman Theatre Quick Change Rooms
    • Access to the Green Room (subject to availability)
    • Access to the Loading Dock
  • The rental cost of Waterman Theatre does NOT include:
    • Stage Labor costs (including but not limited to costs for the light hang/focus, load in, rehearsal, event, load out and restoration)
    • Scenic, Lighting and Sound Designers
    • Box Office, Ticketing, House Management, and Ushers
    • Security
    • Parking
    • Access to shop spaces (unless previously agreed to)
    • Piano usage and associated tuning fees
  • Labor Policies
    • Waterman Theatre is a non-union house, with solely student workers.  The current pay rate is the minimum wage for student workers set by SUNY Oswego.
    • All workers must receive a one-hour break after five hours worked, and a 15 minute break after each two hours worked.
    • Each event must have a SUNY Oswego Theatre Department trained supervisor for all rehearsals, and a Department trained Stage and House Manager for all performances.
    • Additional technicians will be hired based on the needs of the event.  The Theatre Venue Coordinator will determine the number of technicians needed for all calls.
    • Box Office Rates can be found on the Ticket Request Form Ticket Request Form.  All ticket request forms must be submitted at least 10 business days prior to the event.
    • There is a $0.50/ticket fee for Box Office Services.
    • No cash sales at the door or personal e-commerce payment platforms by groups, organizations or individuals allowed.
  • Tier 1 refers to any event organized by the SUNY Oswego President’s Office or executed by SUNY Oswego students.
  • Tier 2 refers to any organization that receives funding from SUNY Oswego.

Waterman Theatre Equipment Use
  1. The equipment available will vary depending on the current SUNY Oswego Theatre Department production needs.  Any equipment that is not available due to a Theatre Department production must be rented, and all cost associated with securing such equipment will be the responsibility of the Client.
  2. All SUNY Oswego owned equipment must be operated by a SUNY Oswego Theatre Department trained technician unless agreed upon in writing by the Client and the Theatre Venue Coordinator.
  3. All special effects needs will be reviewed on a case by case basis, with additional costs dependent upon use.
  4. Any equipment that becomes damaged either by deliberate or accidental causes will be replaced or repaired at the sole cost of the Client.
  5. The current SUNY Oswego owned equipment rental fee schedule is as follows.  Please note, with the exception of the marley dance floor, these costs are per day of use and do not include labor for the operator or consumables associated:

Auxiliary Services Notification

All food and beverages must be procured through Auxiliary Services.  Outside food and food vendors are not permitted on Campus unless approved by the Executive Director of Auxiliary Services in advance of the scheduled event. A copy of the approval must be provided to Campus Events & Conference Services prior to the event.

Off-Campus Organizations (Third-Party Groups)

Off-campus organizations that would like to use campus facilities and services should contact:

Off-campus organizations are required to complete a Revocable Permit four (4) weeks prior to the scheduled event. To begin the process, the following information is required:

  • Official name of the sponsoring organization;
  • Identify if the organization is a commercial or non-commercial organization;
  • Official address of the sponsoring organization;
  • Name of authorized officer or official representative who will be signing off on the permit.

Once the off-campus organization has received, reviewed and signed the Revocable Permit, the organization must provide SUNY Oswego with a Certificate of Liability from the sponsoring organization.  The certificate must include the following information and return with the signed permit:

  • Name the State University of New York and the State University of New York at Oswego as an additional insured party on the policy;
  • Youth Actives (under the age of 17): Must include general liability insurance of two million dollars ($2,000,000) for each occurrence and two million ($2,000,000) in the aggregate.
  • Non-Youth Actives: Must include general liability insurance of one million dollars ($1,000,000) for each occurrence and one million ($1,000,000) in the aggregate.

In addition to a Certificate of Liability Insurance, the sponsoring organization must provide the following documentation and return with the signed permit: 

  • New York State Workers’ Compensation Certificate (C-10502) or Workers’ Compensation Exemption Certificate (CE-200);
  • Disability Certificate (DB-120.1);
  • A copy of the organization’s W-9 Form;
  • A copy of the organization’s Federal ID Number
