Over 11,500 space reservations for events and activities were processed by
the College's Event Management Office during the period July 1, 2007 through
June 30, 2008. Records from the past five years show a steady annual increase
in the number of space reservations and this trend is expected to continue
through the 2008-09 academic year and beyond.
The College has adopted a clearinghouse approach to allocating finite
space/activities resources wisely. Providing support for the planning and
implementation of events/activities is critical to meeting the curricular and
co-curricular needs of our campus community. The College has established a
Facilities Reservations and Use policy to effectively guide these processes.
The policy can be found on pages 104-109 of the 2008 Student Handbook and
online here.
The Event Management Office within the Department of Campus Life has been
designated as the clearinghouse for space reservations and events/activities
support and will assist every campus event/activity planner by providing
valuable information and coordination, including:
- space availability
- setup and arrangement of furniture and other equipment
- events already scheduled that could detract from an event being
planned
- inter- and intra-event coordination
- staff availability
- catering and food service
- audio/visual equipment availability and setup
- custodial and cleaning services
- electrical, telephone and networking needs
- police, parking and traffic control
- signage
- ADA and other accessibility considerations
- inter-departmental communication and coordination
- inclement weather contingencies
- fire safety, liability, and other risk management considerations.
To aid the campus community in its event planning efforts, the Event
Management staff has assembled their top 8 Tips for Planning
Events/Activities.
