Office of Publications: Frequently Asked Questions

Q. What are the guidelines for using the college logo? Where can I get a copy of the logo?

A. The Graphic Identity Guide is available online in PDF format, or you may request a printed copy from The Publications Department. Letterhead templates and official college logotypes are also available online and by request from the Publications Department.

See: Graphic Identity Guide, Logotype Downloads, or Contact Us.

Q. Who does the Publications Department do work for?

A. The Publications Department offers printing services for the SUNY Oswego college community. The department is available to help with planning printing needs -- from concept and design through pre-press set-up and printing. We produce 1-color brochures, postcards, newsletters, posters, booklets, flyers, notices, business cards, and a variety of other publications.

Q. Can I order business cards?

A. The Publications Office supports the new campus standard business card format. Campus faculty and staff may request cards.

See: Campus business card order form & pricing guide.

Q. How much does the Publications Department charge for services?

A. Each job is individual in specifications and finishing details. Our design services are free to many members of the campus community. You pay only for materials used and printing services. Please review our planning guide and then call for an estimate (315.312.3130).

Q. How far ahead of my deadline should I meet with the Publications Department to plan a production schedule?

A. A general rule of thumb for the offset press is four weeks, depending on the job. Plan on one to five days for duplication. Please review our planning guide and then call for scheduling (315.312.3130).

See: Guidelines for more specifics on scheduling for different goals.

Q. What if I miss a production schedule deadline?

A. The Publications Department needs to receive job assets in a timely manner which is agreed upon in the production schedule. All assets should be complete and final. Untimely changes or delays of job assets may result in a delay of more than the equivalent days in production time.

Q. What is "camera-ready" art?

A. Camera-ready means that the job is designed and set up by someone outside the Publications Department to meet our specifications for printing. Offset jobs may be submitted on disk along with hard copy for output to negative. Submit the job file, attached image files, and Postscript ??? fonts with the job. Duplicator jobs may be submitted as hard copy only.

See: Camera-ready Art; Press Specifications; Duplicator Specifications.

Q. Does the Publications Department handle addressing and mailing?

A. Work produced by the Publications Department may be sent to the campus community members via "Faculty and Staff Distribution" or "General Campus Distribution." A Faculty and Staff Distribution reaches faculty and professional staff only. A General Campus Distribution blankets a wider audience of campus employees. Neither distribution reaches students. Both distributions require provost's approval prior to mailing. For personalized faculty and staff mailing labels, contact the Human Resources Office. Labeling is the responsibility of the project originator.

Q. Can I have personal jobs printed here?

A. The Publications Department, as a matter of college policy, cannot run personal work on college equipment.

Q. How does the Publications Department charge for work done?

A. Most billing is to state account numbers and is done as a journal transfer. A copy of the bill is sent to the billed department. Non-state accounts are billed directly with checks made payable to "College Publications."

Q. Can I reproduce copyrighted material for educational use?

A. You may use copyrighted material with written permission from the Publisher on their Letterhead.
